How Is This Role Important to Our Work?
This critical position supports the enterprise Contingent Workforce Program (CWP) staff augmentation support function and serves as the primary contact for issue resolution and full life-cycle CWP day-to-day support by managing Vendor Management System (VMS) processing and User and Supplier support and communication. This role will report to the Director in the Vendor Management Office. This job is currently remote when we return to the office this associate may choose to continue to work remote.
A Day in the Life:
- Provides day-to-day support to business units/managers (“Users”) to clarify job requisitions to ensure required and preferred skills and job responsibilities are well-defined, program compliant, and detailed to minimize staffing supplier (“Supplier”) questions
- Proactively supports and manages requisitions from creation to fill and assignments from offer to termination
- Collaborates with Human Resources and Human Resources Information Systems representatives as needed
- Screens candidate submittals for accuracy and contractual compliance in a timely manner to qualify or disqualify candidates prior to manager review
- Supports Users and Suppliers with questions and issues and services as a change champion; advances issues to the Program Owner as needed
- Cultivates and nurtures strong, positive working relationships through frequent phone, instant messaging, and email contact.
- Tracks all inquires in ServiceNow; manages supports tickets within ServiceNow
- Provides weekly status updates to Program Owner and Vendor Management Office Director; advances issues and/or questions to Program Owner as needed
- Assists with candidate interview scheduling as needed
Growth Opportunities!
- Timesheet and expense management responsibility
- Hosts monthly forecasting calls with volume Users and effectively shares forecasting information with the Suppliers
- Hosts User-Supplier calls to streamline Supplier Req questions and answers
- Hosts recurring and ad hoc CWP policy and procedure training, including system training as needed, to ensure understanding and compliance
- Assists with Supplier performance assessment activities as needed
- Updates User Reference Guides and other CWP support materials
- Recommends and supports process/Program improvements
- Cross-trains to support SOW management within the VMS once implemented
Nice to Have:
- Solid knowledge of and prior experience with a VMS; preferably Beeline
- Effective time management and prioritization; reliable and timely responsiveness to emails, voicemails, and system/Program activities
- Ability to read, comprehend and enforce staffing supplier contractual agreements and Program process and policy documentation.
- Passion for customer service; proven ability to respectfully handle situations where Users and/or Suppliers need repeated coaching.
- Ability to effectively communicate, both verbal and written.
- Strong problem-solving skillset with ability to empathize, establish relationships, collaborate, and influence business partners, Users and Suppliers to gain alignment on issue resolution, risk mitigation, etc.
- Ability to comprehend the “why” behind actions to support forward thinking resolutions.
Required Skills and Experience:
- Bachelor’s degree and four years of related experience or 8 years of the same in lieu of a degree or equivalent related military experience
- 2+ years of third-party agency recruiting experience supporting IT and Non-IT roles
- Attention to detail
- Strong digital literacy skills including web-conferencing, MS Word, and MS Excel and ability learn new systems quickly
