About this position

Provides high-level administrative support to Talent Acquisition team in the execution of the recruitment process including sourcing, screening, selection, hiring and onboarding. Position is critical to the effective and efficient completion of the recruitment process in order to meet business objectives.

What we’ll expect from you

• Assist the talent acquisition team with full-cycle recruitment process by assisting with posting requisition requests, resume and application review, phone screening of qualified applicants, coordinating the onboarding process for new hires, and managing the offer process.
• Administers internal transfer process for positions covered by a CBA. Posts requisition, determines candidates based on seniority/contract rules, forwards candidate information to manager and processes transfer based on manager direction.
• Processes position requisitions expeditously. Resolves inaccuracies by contacting hiring manager and/or recruiter to ensure postings are accurate.
• Partners with hiring managers and recruiters to ensure a positive candidate experience.
• Plans and coordinates various recruitment functions for the organization including job fairs, education fairs and other recruitment specific events
• Administers the hiring and on-boarding process to include generating and disseminating offer letter, intitiating and completing background checks, reference checks, and coordinating the pre-employment health assessment, drug screen and PRIM test, as needed. Communicates new hire information with other new-hire process stakeholders to ensure smooth assimulation of new hire.
• Coordinates the completion of special projects and reports as assigned.
• Performs general administrative duties including: Greet and interact with visitors, vendors, representatives, and various customer groups, process incoming/outgoing correspondence, answers inquiries of a general nature, and assist team members by delivering and/or retrieving items.
• Maintains personnel and department files in a neat and orderly manner. Assists with providing requested information during process file audits.
• Coordinates the compliance pieces of onboarding of prospective team members. Run the background checks on all new hires and consults members of HR team on interpretation of results as needed.
• Enters data into computer software system and assists with reporting as requested. Provides assistance in management of databases.
• Accepts other duties as assigned to promote the accomplishment of organizational goals.

Education

• Associate's degree in business required.
• Bachelor's Degree preferred.  

Experience, Knowledge, Skills, Abilities

• 3+ years previous administrative assistant experience supporting a fast-paced, complex process or work unit. Previous human resources administrative experience preferred.
• At least one year of recruitment experience strongly preferred.
• Previous healthcare experience preferred.

  • Previous HR compliance experience preferred

• Demonstrated customer service orientation and skills including skill in hospitality.
• Strong interpersonal and oral and written communication skills.
• Demonstrated skills in teamwork to effectively work with others to achieve business objectives.
• Demonstrated problem solving, critical thinking and judgment skills to anticipate potential problems, identify problems when they occur and potential solutions. Make recommendations regarding solutions/ seek permission to act on recommendation.
• Proficiency in computer technology utilized throughout recruitment process to leverage it to optimize efficiencies and results. Technology includes e-recruitment solution software, Microsoft Word, Excel, PowerPoint, Access and intranet and internet capabilities.
• Demonstrated awareness of fundamental human resources functions such as team member/labor relations, benefits, training and development, occupational health, compensation, payroll and workforce planning.
• Demonstrated awareness of legal requirements impacting recruitment including the requirements, principles and components of state and federal affirmative action and EEO legislation.
• Attention to detail, skill in performing with a high degree of accuracy.
• Skill in multitasking and demonstrated flexibility and adaptiveness.
• Skill in organizing and prioritizing work and time management.
